("Service") collects, uses, and protects your personal information. This
Service is operated for property management companies and their tenants, employees,
and contractors.
2. Information We Collect
We collect the following types of information:
- Account Information: Name, email address, phone number, and
company details provided during registration.
- Tenant Information: Name, phone number, unit number, and property
address as provided by property managers or tenants themselves.
- Maintenance Requests: Descriptions of maintenance issues,
photographs, urgency levels, and related communications.
- SMS & Voice Communications: Message content and call
metadata when you interact with our system via text message or phone call.
These are stored to provide continuity of service and maintain work order history.
- Usage Data: Login activity, pages visited, and feature usage
within the platform.
3. How We Use Your Information
- To process and track maintenance work orders
- To send SMS notifications about work order status, assignments, and updates
- To facilitate communication between tenants, property managers, and maintenance staff
- To dispatch emergency maintenance responses when necessary
- To provide AI-assisted intake of maintenance requests via SMS and voice
- To improve our service and user experience
4. SMS & Messaging
- We send automated SMS messages related to maintenance requests, including
confirmations, status updates, assignment notifications, follow-up surveys,
and emergency alerts.
- Message and data rates may apply. Message frequency varies.
- You may opt out of SMS messages at any time by replying STOP to
any message. Reply HELP for assistance.
- We do not use your phone number or message content for marketing purposes or
share it with third parties for marketing.
- No mobile information will be shared with third parties/affiliates
for marketing/promotional purposes.
- Carriers are not liable for delayed or undelivered messages.
5. SMS Opt-In & Call to Action
Users opt in to receive SMS messages from our platform through the following methods:
- Account sign-up: During registration at our
sign-up page, property managers provide explicit consent
by checking a required SMS consent checkbox before creating their account. This
checkbox clearly discloses the types of messages that will be sent, message
frequency, and how to opt out.
- Tenant-initiated contact: Tenants opt in by voluntarily texting
their property management company's dedicated maintenance phone number. By
initiating a text conversation, the tenant consents to receive automated responses
and follow-up messages related to their maintenance request.
- Employee enrollment: Employees and contractors are added to the
platform by their property management company. Upon enrollment, they receive an
introductory SMS that identifies the sender and provides opt-out instructions
(reply STOP).
In all cases, users are informed of the following before or at the time of opt-in:
- The types of messages they will receive (work order updates, assignment notifications, follow-ups, emergency alerts)
- That message and data rates may apply
- That message frequency varies based on maintenance activity
- That they may opt out at any time by replying STOP
- That they may text HELP for assistance

6. Data Sharing
We share your information only in the following circumstances:
- With your property management company: Tenant data and work
orders are accessible to the property management company that manages your property.
- Service providers: We use third-party services including Twilio
(SMS/voice), Anthropic (AI processing), and Stripe (payments). These providers
process data only as necessary to provide their services.
- Legal requirements: We may disclose information if required by
law or to protect the safety of our users.
We do not sell your personal information to third parties.
7. Data Security
We implement industry-standard security measures to protect your data, including
encrypted connections (HTTPS/TLS), secure authentication with multi-factor
authentication support, and access controls that limit data visibility to
authorized users within your property management organization.
8. Data Retention
We retain your data for as long as your account or your property management
company's account is active. Work order records and communication history are
retained to provide ongoing service continuity. You may request deletion of your
data by contacting your property management company or our support team.
